Who we are
Seven Labs Technology (Pty) Ltd (“Seven Labs”, “we”, “us”, “our”) is a specialist electronics distributor and turnkey supply chain partner, operating from Centurion and Cape Town, South Africa.
Registered address: 102 Witch-Hazel Avenue, Highveld Technopark, Centurion, 0157 Registration number: [insert company registration number] Email: info@sevenlabs.co.za Phone: +27 79 731 6201 Website: www.sevenlabs.co.za
This policy explains what personal information we collect through sevenlabs.co.za, why we collect it, and what rights you have over it. It’s written to comply with the Protection of Personal Information Act 4 of 2013 (POPIA).
Information we collect
We collect personal information you give us directly, mainly through the forms on our site:
Contact and RFQ forms. Name, company name, job title, email address, phone number, and the details of the enquiry or request for quote.
“Let us quote you” submissions. The same contact details above, plus the bill of materials file itself. BOM files sometimes contain technical or commercial information belonging to you or your own customers. We treat these as confidential and only use them to prepare a quote or sourcing response.
Newsletter sign-ups. Name and email address, collected and managed through Mailchimp.
We also collect some information automatically when you browse the site:
Analytics and site usage data. Pages visited, time on site, device and browser type, and general location (derived from IP address), through analytics tools such as Google Analytics.
Advertising cookies or pixels, where these are active on the site, used to measure and improve our marketing (for example, a Meta Pixel).
We don’t knowingly collect personal information from children, and this site isn’t directed at children.
Why we collect it
We use your information to:
respond to enquiries and requests for quotes
prepare BOM sourcing, kitting, and quote responses
send the newsletter and other marketing communications you’ve opted into
understand how the site is used, so we can improve it
meet legal, tax, and record-keeping obligations
protect Seven Labs, our clients, and our systems against fraud or misuse
The lawful basis for most of this is that you’ve asked us to take steps before or in connection with a contract (a quote, an order, a kitting agreement), or that you’ve given consent (newsletter sign-up, marketing cookies). Where we rely on consent, you can withdraw it at any time.
Who we share it with
We don’t sell personal information. We share it only where it’s needed to run the business or is required by law:
Service providers who process data on our behalf, such as Mailchimp (email marketing), our website host, and analytics providers. These providers are contractually required to protect your information and use it only for the purpose we’ve engaged them for.
Suppliers and logistics partners, where fulfilling an RFQ or shipment requires it.
Regulators or authorities, where we’re legally required to disclose information.
Some of these providers (for example Mailchimp, Google Analytics, or a Meta Pixel, where active) may process data on servers outside South Africa. Where that happens, we rely on the provider’s own compliance with recognised data protection standards, and we only use providers who commit contractually to protecting your information to a standard consistent with POPIA.
Cookies
Our site may use cookies for core functionality, analytics, and marketing. You can control or disable cookies through your browser settings. Turning off non-essential cookies won’t affect your ability to browse the site or submit an RFQ, but it may affect how our marketing is measured.
How long we keep it
We keep personal information for as long as it’s needed for the purpose it was collected, and for as long as we’re required to by tax, accounting, or other legal obligations after that. RFQ and quote records are generally kept for the duration of the business relationship plus a reasonable period afterwards for record-keeping. Newsletter details are kept until you unsubscribe.
Keeping it secure
We take reasonable technical and organisational measures to protect personal information against loss, unauthorised access, or misuse, including access controls and secure handling of BOM files and client data. No system is completely without risk, and we ask that you also take care when sending sensitive files, for example by confirming you’re sending them to the right destination.
Your rights
Under POPIA, you have the right to:
ask us to confirm what personal information we hold about you, and access it
ask us to correct or update inaccurate or outdated information
ask us to delete personal information we no longer have a lawful reason to hold
object to our processing of your information, including for direct marketing
withdraw consent at any time, where we’re relying on consent
lodge a complaint with the Information Regulator of South Africa if you believe we’ve handled your information incorrectly
To exercise any of these rights, contact us at info@sevenlabs.co.za. We’ll respond within a reasonable time and in line with POPIA’s requirements.
The Information Regulator can be contacted at: Website: inforegulator.org.za Email: complaints.IR@justice.gov.za
Our Information Officer
Seven Labs is in the process of appointing and registering an Information Officer with the Information Regulator, as POPIA requires. Until that registration is confirmed, direct any POPIA-related queries or requests to info@sevenlabs.co.za, and we’ll route them appropriately. [Update this section with the appointed Information Officer’s name and registration confirmation once complete.]
Changes to this policy
We may update this policy from time to time, for example as our services, tools, or legal obligations change. The date at the top shows when it was last updated. Material changes will be reflected here, and we encourage you to check back periodically.
